Booking with Quaynote is simple and stress-free.

Just share your event details - including date, audience, theme and budget - and we’ll match you with the most suitable speakers. We’ll provide availability and fees, handle contracts, and coordinate all logistics to make your life easier.

Working with an agency like Quaynote saves you time, effort and uncertainty. Our aim is always to provide a friendly, professional and supportive service you’ll want to use again and again.

The best part? We don’t charge you for our time; our speakers pay us commission for bookings. We handle all payments to keep things simple.

You don’t pay extra - our commission is taken from the speaker’s fee, not yours.

The fee generally covers the speaker’s time, preparation and delivery of your agreed session.

Typically, you pay for 1-hour of a speaker’s time. This is usually a 45-minute speech, followed by a 15-minute Q&A. However, if your requirements differ from this, the fees can and will vary.

It does not include travel and accommodation, which are important costs to factor in when you budget for a speaker, but we can arrange those on your behalf (and include them in the total quote if required).

As a UK-based agency, all fees are subject to VAT

Speaker fees can range from low thousands of pounds to over £100,000 for high profile individuals. We give an indication of our speakers’ fee ranges onsite. These fees are a guide. Exact costs are dependent on requirements and subject to change.

Speaker fees vary depending on experience, demand, preparation time and event type.

Once we understand your budget range, we’ll recommend the best-fit speakers for you. There is no “one size fits all”, and we’re transparent from the outset so you know exactly what to expect.

The sooner the better!

Many of our speakers plan their calendars months ahead, especially for keynote engagements.

For popular speakers or specific dates, we recommend booking 6–12 months in advance, but we regularly secure quality speakers on shorter notice when needed.

Once the speaker accepts the booking, we will then issue a contract and confirm all event details.

At this point, a 50% deposit is required, with the balance and agreed-upon expenses due on or before the day of the event.

We handle every part of the speaker process - travel, briefings, accommodation booking, presentation planning and everything in between - so you can concentrate on running a brilliant event.

We can either organise travel and accommodation directly or coordinate with your team — whichever is easier for you.

Most events simply reimburse the speaker’s travel expenses, and accommodation is typically arranged by you as the organiser, although we can handle this and simply pass the cost on to you, with no additional or hidden charges.

We’ll advise you on best practice and ensure everything is handled smoothly.

Although rare, unexpected circumstances can happen - and if they do, we’ll step in immediately.
